Outlook 2003 Overview

   

Subscribing/Unsubscribing to your WebMail folders in Outlook:

  As a result of the changes we're making, you'll need to re-subscribe to your folders on the e-mail server so that you can see them in Outlook.  You are not losing anything during the change, you will just be re-connecting to your existing e-mail on the new server.

In Mail, in the Navigation Pane (Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder (Your Inbox on the server) to show the items in the folder.), click the Inbox for the IMAP (Internet Message Access Protocol) account that contains a folder you want to subscribe to or unsubscribe from.
On the Tools menu, click IMAP Folders.
Do one of the following: Subscribe to IMAP Folders in Outlook Window

Subscribe to a folder

Click Query.
In the Folders box, click the folder you want to subscribe to. To select multiple folders, hold down CTRL while clicking folder names.
Click Subscribe.

Unsubscribe from a folder

Click the Subscribed tab.
Click Query.
In the Folders box, click the folder you want to unsubscribe from. To select multiple folders, hold down CTRL while clicking folder names.
Click Unsubscribe.

Managing Deleted Messages

  PLEASE NOTE that if you are using Outlook / Eudora / Entourage / Apple Mail / etc, that messages in the Trash folder on the server (the one in WebMail) will need to be deleted as well because they count against your quota. 

To delete messages in your local e-mail program on your machine, you can continue to use the current delete/purge method used previously, you can move messages to the Trash folder on the server, or you can move the messages to a folder on your local machine.  If moving items to your Trash folder, be sure to go in periodically and clean them out.

You may need to "subscribe" to the folders on the server from your local e-mail program so that they are visible.  Here's how to subscribe to new folders in Outlook, Eudora, Entourage, and Apple Mail.

Your Calendar In Outlook

  You can access the Calendar mode in Outlook by using the Go menu, the Large Calendar Button or the Small Calendar Button buttons, depending on how you have your menu in the lower left corner arranged. 

To change the displays in Outlook, select one of the buttons pictured below in your toolbar.  They change how many days you can view at once.

Requesting Non-people Resources (like equipment and rooms) For Your Calendar

  To request non-people resources to be added to the WebCalendar system, please contact User Support Services and place a work order.  They can be contacted Monday - Friday 8:15 - 5:00 PM at 434-395-4357 or you can place a work order through the online form on their website.

Making Calendar Appointments in Outlook

  On the File menu, point to New, and then click Appointment or use the button (the small black triangle beside it has additional options).  You can also single left click and highlight blocks of time (to put in just the title) or double left click (to get the additional appointment properties window) to create a new event. 

In the Subject box, type a description.

In the Location box, enter the location.

Enter start and end times.

Select any other options you want.

To make the appointment recur, click Recurrence.

Click the frequency (Daily, Weekly, Monthly, Yearly) with which the appointment recurs, and then select options for the frequency.

Click OK.
Click Save and Close.

Tasks in Outlook

  Do one of the following from the Task mode in Outlook:

Create a task from scratch

On the File menu, point to New, and then click Task  or use the New Task button button (the small black triangle beside it has additional options).

In the Subject box, type a task (task: A personal or work-related duty or errand that you want to track through completion.) name.

Complete any other boxes on the Task and Details tabs for information you want to record for the task.

To make the task recur, click Recurrence, click the frequency (Daily, Weekly, Monthly, Yearly) at which you want the task to recur, and then do one of the following:

Make the task recur at regular intervals

Select options for that frequency. Do not click Regenerate new task, or the task will not recur at regular intervals.

Make the task recur based on completion date

Click Regenerate new task, and then type a time frequency in the box.

If you want, set start and end dates for the task.
Click OK, and then click Save and Close.
Create a task from an existing task

In task list, select the task (task: A personal or work-related duty or errand that you want to track through completion.) you want to copy.
How?

To select adjacent items (item: An item is the basic element that holds information in Outlook (similar to a file in other programs). Items include e-mail messages, appointments, contacts, tasks, journal entries, notes, posted items, and documents.), click the first item, and then hold down SHIFT and click the last item.

To select nonadjacent items, click the first item, and then hold down CTRL and click additional items.
To select all items, click the Edit menu, and then click Select All.

Note Changing the view (view: Views give you different ways to look at the same information in a folder by putting it in different arrangements and formats. There are standard views for each folder. You can also create custom views.) for items can make selecting specific items easier. For instance, if you want to select all messages that have the same subject, in the folder containing the messages, on the View menu, point to Arrange By, and then click Subject. Select the messages you want from the view.

On the Edit menu, click Copy. If the Copy command is not available, click the check mark in the task's Icon column, and then try again.
On the Edit menu, click Paste.
As appropriate, open the task and change its options.
