WebMail Overview/Logging In: |

![]() To access WebMail please vist: http://webmail.longwood.edu You will access WebMail using your Lancernet ID and password. Your LancerNet ID is the first part before the @ symbol of your e-mail address. Please remember your Lancernet password will change for your e-mail and your network access as it has been (every 90 days). If you encounter problems (or even before you encounter problems) accessing the WebMail or network, please visit your CYPHIR (Change Your Password or Have It Reset) system to establish your security questions and secondary e-mail addresses. Please note that while many browsers will function well with WebMail and WebCalendar, additional features like HTML formatted mail and some event notifications may require you to use Internet Explorer. WebMail also displays items in the order they were received, which may be different than a sort by date. Be sure to use the Help link within WebMail to get more information about a specific feature.

WebMail Features/Benefits |

Manage and create folders that are accessible from
anywhere: Any folders you set up in WebMail, in
your e-mail client (faculty and staff only), or with a
mobile device (faculty and staff only) will be
available for viewing from anywhere, at any time.
(You will need to subscribe to new folders created in
WebMail with your e-mail program) Do you need to send a
reply e-mail to a contact when you are at home or on the
road? No problem! All of your e-mails can be kept on
the server (up to your quota) for easy access! It is
recommended if you want to put any of your e-mail
folders from your computer out on the server that you do
so through your e-mail program. It is as simple as drag
and drop. If putting your existing folders online, it
is recommended you do so directly from your e-mail
program. Secure connections: Between where you check your mail from (client / web browser) and the Longwood e-mail server, your ID and credentials are now encrypted to protect them from being intercepted. Sharing of accounts / Public Folders: Users can be given the ability to access e-mail between a group of folks in an office like "admissions@longwood.edu". By having a shared space, anyone who has permission can access the Public folder for that address. This also works for people who need to give e-mail access to their administrative staff. Instead of giving your ID and password out, (DON'T DO IT! only YOU should be using YOUR credentials!) you can configure users to be added to your folder where the assistants can access your mail with their credentials. Here's how to do it in the new WebMail. There are other uses to this as well. Public folders allow many people to be able to access a folder at once, so one could be set up for the Faculty, Staff, and Student e-mail distribution lists. Such areas would not count against your quota and with additional settings could also behave like a mini listserv. Authenticated Sending: With the new system, sending through your address is authenticated by the Longwood e-mail server, so you won't have to re-configure your e-mail settings every time you go on the road. Just one set-up and you are good to go no matter who you are connected through! Friendlier checking of e-mail from slow connections: Have you ever checked your mail from home and had to wait a looooooong time to download an attachment before you could see any of your mail? No longer! With the new e-mail system, all you have to do check your mail. Since only the headings of your messages are downloaded, you can decide what you want to read and then commit to download it if you wish. We are finishing the final steps for those of you who want to check your mail, disconnect, reply, and then reconnect to send your mail from home. You may do this for reasons of time or you may have a long distance connection. We'll update this part about what you'll need to do soon. In the meantime, please use our WebMail service to read your mail. Server side filtering: Do you have important messages you want to pre-sort into folders? Do you have a spammer sending you constant jokes and Viagra solicitations? You can just filter the undesired messages away from your Inbox using the server side filtering through WebMail. With our new WebMail Junk Folder feature, this may not be as much of an issue. The new version of WebMail contains a Junk e-mail feature. This feature filters e-mail messages out of your Inbox that look like SPAM/undesirable messages. This Junk Folder may not be immediately accessible from within your e-mail program. It is checkable from within WebMail by clicking on Folders, then Junk Mail. During the first new months of the new e-mail service, particularly, we recommend that you check and clean this folder for messages that you wish to keep. For messages you do wish to keep, click on the "This is not spam" (from inside WebMail, because that is what is doing the analyzing) link near the top of the message (only seen by viewing the message).If you'd rather make sure you can follow up on them in case something important comes through, you can use Outlook 2003's Junk Mail feature (faculty/staff only) which recognizes spam patterns and allows you to be protected. You can add new senders to the Junk Mail list any time you want and can go back to review things that are "junked" automatically. |

Menu Options: |

menu options available in WebMail are shown to the
right. You can check for new messages by clicking on
the Check Mail link when logged in.
Depending on the option selected for Trash folder under Preferences, you will see one of the two menus pictured on the right. The menu to the left is what the default will be. It will utilize a Trash folder for your deleted messages. Deleted messages will have to be moved to that folder, and then from the Trash folder, you must select the messages you wish to permanently delete and then press the Delete button near the top left side of the Trash folder. Messages in your Trash folder do count against your quota (see below), so be sure to clean it out regularly. PLEASE NOTE that if you are using Outlook / Eudora / Entourage / Apple Mail / etc, messages in the Trash folder on the server (the one in WebMail) will need to be deleted as well as they count against your quota. To delete messages in your local e-mail program on your machine, you can continue to use the current delete/purge method used previously, you can move messages to the Trash folder on the server, or you can move the messages to a folder on your local machine. All of your folders should appear as they did before in your e-mail program. |

Checking Mail: |

To check for new messages, go to your Inbox in
WebMail. If you have had the browser open for some time
and would like to check for new messages, use the
Check Mail link from the left hand menu. Inbox
is where all of your new messages are delivered unless
you are using a Filter (set up under Options). The amount of e-mail and attachments are subject to a quota amount. Students have 12 MB of quota while faculty/staff have 45 MB of quota. Messages and attachments contribute to your quota size. From WebMail, your quota bar will look something like this:
You can also use Folders to organize your incoming e-mail. Be aware that each of these messages count toward your quota as well. For an exact file size status of your quota amount, go to Options, then Access Control. As you view your messages, you are able to delete messages, navigate between messages using the Prev Next links, Reply/All, Forward/Inline, add senders to your Address Book, and mark messages as Spam. |

Reading Mail: |
|||
|
There are three ways you can view your messages in
WebMail. They are configurable under the Preferences
link. The different options allow you to change how the
navigation links, e-mail headers, and message preview
are displayed.

Composing Mail: |
|||
| New
messages are created by using the Compose button
in your menu. One can write messages, save drafts,
expand the recipient to show the full address, run a
spell check, link to contacts in your Address book, use
HTML formatting, use signatures, set the priority, and
add attachments to your messages. Your signature is created under the Preferences area. When running a spell check, words believed to be misspelled will be linked as pictured below. Choose the correct answer from the suggestions area or add your own commonly used words to the dictionary for future use. Added dictionary words are only available in WebMail. Be aware that the spell check does not include a grammar checker nor does it account for real words used incorrectly. Using the HTML text button (the Internet Explorer is the only browser with this feature) will allow you to format your e-mail with HTML coding. Please be aware that some recipients may have HTML formatting off so if you use heavy formatting, the message they receive from you may not look as you intended. |

Folders in WebMail: |
|||
|
Folders is where you can access and organize
additional folders that are on the server for storing
e-mail. These folders are accessible for faculty and
staff through their e-mail programs on their computers
as well. Be aware that these folders will count against
your quota.
Students only have access to e-mail folders through WebMail. The list of folders appearing above your messages is for copying/moving messages and not for folder navigation. Moving items to a folder DELETES the message from the current location and places a copy in the new location while using the COPY option will have a copy in both places. |

Searching for Messages in WebMail: |
|||
| Search allows you to quickly find messages based on exact criteria like name, subject, etc. | |||
Using the Address Book: |
|||
| Address Book allows you to store your contacts electronically for use in e-mail composition. It will also sync with your local Address book for users running Outlook. You are also able to look up other users in the WebDirectory. | |||
Set your Preferences On How Your Messages Look: |
|||
|
Preferences allows you to change your name,
return address, signature, deleted items/trash, and
other display options for working in WebMail. You'll may wish to check this setting by going into your Preferences area and checking if your Time Zone is set to GMT-5:00 America|New York. |

Configure the Tools: Access Control, Filters, Junk Mail Settings, Forwarding, Out Of Office Message |

Options is where you can control who else has
Access Control to your mail (different levels of
permission available). Enter the Lancernet ID in the
blank box below your ID and check the boxes for the
appropriate permissions that user should have. You
will have to set these permissions for each folder
in the Access Control List for: dropdown menu
that you wish someone else to access. To remove another
user's access, uncheck all of the boxes next to
their name for each folder you wish to remove them from
and hit OK.
Message Filters: allows certain actions to occur when a message arrives in your Inbox like sending a copy to a folder named "personal" or deleting messages from that person who sends you jokes all the time. Junk Mail Control: allows you to exclude certain folks from the Junk mail filtering Forwarding of messages to another of your accounts if you are away (but remember you can access WebMail from everywhere!) Automatic/Out of Office Reply: Are you out of the office or unable to respond for a little while? Are you expecting all of your students to send you the same question? Make an automatic reply! Be aware that everyone who sends you a message will receive this reply automatically. Remember that messages filtered into a folder on the server still count against your quota. |

Deleting Messages: |

*The next two options are mutually exclusive based on
your selections under Preferences
*Trash [Empty] the Trash part is how you access your messages marked for deletion and the [Empty] part is how you can permanently delete all of your messages that are in the Trash folder. *Compact marks your messages for deletion in-line with your other messages and works similarly to the "Purge deleted messages" feature that you may have used in the old WebMail. We recommend you use the Trash option. |

Getting Additional Help: |

| Help provides specific help on the WebMail service. Be aware that the Help area may describe features that we do not currently have available. | |||
Exiting the System: |
|||
| Logout will log you out of the current e-mail session, but it is a good idea to always close all of your open browsers for security reasons when you are finished. | |||
E-mail Filters, Safe/Blocked Lists in Previous Version of WebMail - NOT CARRIED OVER: |
|||
|

Any Filters and Safe/Blocked user lists set up in the previous version of WebMail will NOT carry over to the new version of WebMail. Please make printouts of or copy and paste into an electronic document (that you can copy from later) any filters/lists that you deem that you may need in the future. If this changes before the release date, this area will be updated. | ||

Disabling Junk Mail Filter On The Web Server |

If you do not wish to use the server side Junk Mail filtering, you can go into Preferences in WebMail and change your Junk Mail Folder setting to Inbox. While this is not recommended, it is suggested if you do this, that you check the Junk Mail folder occasionally to ensure messages are being delivered per your wishes. | ||
