Cataloging and Processing of CDROMS
PROCESSING BOOKS WITH CD-ROMs OR FLOPPY DISKS
LOCATIONS
When a floppy disk or CD-ROM accompanies a book, each component will be
separately item-screened. All accompanying materials are shelved with the book
in either General Collection or Reference, unless specifically requested for
faculty reserve.
CATALOGING
In addition to the "accompanying materials" information in the physical
description (300 field), the bibliographic record should contain system
requirements information. Include in the 538 field system requirements for
either format.
ITEM-SCREENING
Location code for floppy disks and CD-ROM will be the same as the book. The
itype will be based on format:
itype for floppy disk: 32 – Software, IBM floppies
itype for CD-ROM is: 31 - Software, CD-ROM
Circulation period matches text circulation:
90 days for General Collection
0 days for Reference
BACK- UP COPY
A single back-up copy of the disk should be made for circulation purposes with
system
requirements information noted on the label. The master should be filed in the
Technical
Services Department. The University Librarian’s Assistant [ ] will make the
back-up
copies.
PHYSICAL PROCESSING
The diskette copy should be placed in a standard diskette packet and paper
sleeve and the CD-ROM in a jewel case; the packet or jewel-case should be
bar-coded on the inside front cover so that the circulation attendant will have
to open the container at check-in, verifying the software's presence. The paper
sleeve should be attached to the inside back portion of the diskette container.
The call number should appear on both the master and the back-up copy of the
diskette. Should the system requirements information or installation directions
be too lengthy to appear on the software itself, this information should appear
on the software container; in the case of a very long system requirements note,
it may be advantageous to utilize the 538 field from the MARC record for this
purpose.
CHECK-IN
Upon return from the patron, the diskette should not be checked in until after
it has been scanned for possible viruses. If it has been wiped clean or
hopelessly corrupted, a new copy should be made from the master in Technical
Services.
The Circulation attendant should be sure that the software is actually in the
packet before completing the check-in.
