COPYING AUTHORITY RECORDS
There are two methods that can be used to copy authority records. The simpler
of these methods to use is the Millennium Cataloging Module. You may also copy
authority records by using the Character Based Interface of ReadPAC.
In Millennium:
- Pull up the authority record that needs to be copied.
- Go to Edit and then select Copy Record.
- Choose the type of authority record that you need. For the first
authority record that you copy during an active session you will select the
type of template you need for the new authority record. You will not have to
select the template while your session is active if all of the authorities
that you copy are the same type authority as the first one you copied.
- Save the newly created authority record. If you no longer need the
original authority record in ReadPAC, it should be deleted after it has been
copied. This can be done by clicking on File and then Delete Authority
Record.
In the Character Based Interface of ReadPAC:
- Log in to ReadPAC.
- Select D for Catalog Database Maintenance.
- Select U to Update the Existing Records.
- After entering your personal log-in ID and password, choose A for
authority record.
- You will be prompted to enter the authority record number for the
heading to be updated. Be sure to precede the authority record number with a
decimal and the letter a. If you dont have a full eight digit authority
record number, the letter a can be used as a wild card and should follow
the number. The authority record number in that case would appear in the
following format: .a1234567a
- The prompts will take you through the process so that you can enter the
exact information regarding how the record is to be updated, for example C
to Copy and A to Add to the Database. If you dont see the command that is
applicable, enter + for additional options.
- When you finish editing, enter Q to quit and X to exit the program.
If you no longer need the original authority record in ReadPAC, it should be
deleted as previously mentioned.
