 LABELING WITH CATME

  1. Open the OCLC LABEL PROGRAM
     

  2. Click on FILE-IMPORT.  A window opens. Click on the correct labels file and OK to Spine 1.
     

  3. Records will import.  You will be asked a question: Delete a:XXXtxt?  Answer NO.  You might need to re-import later.
     

  4. Click on the 5th Icon (SEARCH)-LIST All
     

  5. Go through the labels and edit if necessary.  Now is the time to add Ref., VIDEOTAPE, CD, Volumes and duplicate labels for  covers on books.  Always save your edits.
     

  6.  Highlight the list of labels.  Click on the PRINT Icon.  You will see the labels on regular paper.
     

  7. Now look for errors.  Fix them.
     

  8. You can make new labels now if you need any.  Close the list window and hit the F8 key.  Type in the information and save it.  It will be the last label in your imported file.
     

  9. Insert label sheet.  Click on the SEARCH Icon-LIST-ALL.  Highlight all labels and PRINT.

  LABELS WITHOUT THE CATME DISK: Click on CREATE LABEL. 

  1. Type a list of labels.

  2. Close out and save. 

  3. Click on SEARCH Icon-LIST-ALL. 

  4. Highlight labels and click on PRINT

 

PHYSICAL PROCESSING OF NEW BOOKS AND NON-BOOK MATERIALS

  1. Apply the Longwood University Library plate - Peel off back of plate and apply at top left corner on the front inside of the cover. If there is a picture, map or writing in this area go to the next page at the same place. For books with jackets, do not apply a plate. If the plate interferes with text or pictures, do not apply a plate.
     
  2. Stamp with Longwood University Library Stamp - at bottom of the verso page (never next to the call no.). For Juv. books or books with dark or slick pages, stamp on adhesive white label (located near the Longwood University Library stamp) and adhere to verso page of the book.
     
  3. Security-treat with Tattle Tapes - Use the one sided white tape for books with spines. Insert the rod in the spine with the tape attached at one end and then pull through, rub the spine really hard and pull the rod out. Use the two-sided tape on paperbacks and books with small spines. Open the book a little past the center of the book and insert the tape close to the inside margin and then peel off the outside. Close the page and rub on both sides of the pages before and after.
     
  4. Apply date-due slips (single adhesive strip at top, not to be confused with the video date due slips) to the back of the last blank page. Do not put date-due slips on the inside of the back cover due to possible damage to the book’s spine. Only for juvenile books that have text on the last page should the date-due slip be placed on the inside of the back cover.

    Do not put date-due slips on Ref. or non-circulating material.
     
  5. Attach call no. labels and then apply protectors over the labels. Attach labels on spine ¼” from bottom of spine on hard back books and books with jackets (one on jacket and one on book). If the spine is too narrow, put on front cover on the top left side under the barcode. For paperbacks, attach label on front cover at the top left under the barcode. For a paperback with a wide spine you can put the label on the spine ¼” from the bottom. Use the short label protector on the spine and wrap around the label. Use the longer label protector cover for a label on the front of the book. You will need to cut a little off the top and side so it will fit over the label and not have too much of it showing. For labels attached to cloth books, use two short labels and attach lengthwise over the call number label.
     
  6. When steps 1-5 are complete, books with jackets need mylar covers. Directions for mylar covering are below.
     
  7. Preparing books for Circulation. Separate the Rec. Reading books, New Books (books will have slips designating Rec. Reading or New Book), and Rush books (books will have print-outs with Rush notification).

    Rec. Reading books: put a green dot above the call number on the spine. If the call number is on the front cover, place the green dot just below the call number. If the book has a mylar cover, place the dots on top of the cover. Put the separated books in call number order by groups and then bring books to Circulation.

    Take the Ref. books to the Ref. Room and place them on the Ref. desk to your left (x2435).


PUTTING ON MYLAR BOOK JACKET PROTECTORS

  1. Remove book jacket, flatten creases.
     
  2. Select proper size of book jacket cover. The mylar plastic must extend far enough beyond the book jacket to fold back over and reach the paper backing. If a smaller size will work, use it. Do not tape the plastic to the book jacket itself. Rolls for large sized books are in the cabinets.
     
  3. Pull enough covering off the roll so it is slightly less than the length of the flattened book jacket. About ½ inch of book jacket should extend out of the covering, ideally.) Cut off this amount with scissors.
     
  4. Lay protective cover on the counter, machine-folded side toward you, plastic on bottom, paper backing on top.
     
  5. Place flattened book jacket inside cover, with the jacket printing down against the clear plastic and edges slightly extending on either side.
     
  6. Push book jacket fully into the fold, checking to make sure there is no visible white edging along bottom of cover.
     
  7. Fold mylar plastic down snugly over the top of the book jacket. Make a good crease, running your fingernail (or bone) along it to seal it. Secure to the paper backing with two or three short strips of tape.
     
  8. Place book in the center of the covered jacket and fold around book, checking as you do so that the bottom of the book and the bottom of the jacket are facing the same way.
     
  9. Put a strip of archival tape securing the plastic jacket to the book on each of the four corners. Tape should be on the plastic covering not on the top (or bottom) of the book and secure on the outside of the book itself, underneath the cover.


PROCESSING AV MATERIALS

  1. Videotape: apply call no. label on the spine ¼” from the bottom of the case. Use the short clear label protector on the spine and wrap around the label. If the videotape has a display sleeve insert accompanying it, apply a call no. label on the lower left corner of the insert (which could be the spine of the video jacket.) See example. Do not attach a label to the plastic display sleeve itself. Do not put a clear label protector on labels applied on inserts for display sleeves.
     
  2. DVD: apply call no. label to top front left corner of case (try not to cover title.) Use the longer label protector for a label on the front of the DVD. You will need to cut a little off the top and side so it will fit over the label and not have too much of it showing. For the display sleeve insert apply the call no. label to the front left bottom of the insert. Do not attach label to the plastic sleeve. Do not put a clear label protector on labels applied on inserts for display sleeves. If the inserts for the display sleeve are in two parts, front & back, use a strip of two-sided tape to attach them together back to front before placing in the plastic sleeve.
     
  3. Apply a special date-due slip (adhesive on the whole back) on the back of videotape and DVD cases. Bring to Circulation.
     
  4. CD: apply call no. to the front top left corner of the case. Give the musical CDs to Mary Fran for creating display sleeves. Do not put a date-due slip on CDs. Mary Fran will attach it after a copy is made for display.

RUSH PROCESSING OF MONOGRAPHS

Check bibliographic record in ReadPAC to book to make sure that it matches. If record doesn’t match, search to OCLC for a better one. If a better one is retrieved, download it. If no matching record is found in OCLC, a new record will have to be created

Edit the bib record and item screen as usual. Transfer the order record to the new record in ReadPAC and delete the unused source record. Be sure that the book has a slip in it indicating the requester’s name for whom the book is to be held. Send to labeling without “in process” status.

After labeling is complete, give the book to circulation department to notify the requester that the book is available.

RELABEL RECLASSIFIED/RECATALOGED MATERIALS

Remove old labels without damaging materials, generate and apply new labels.
