Textbook Depository Materials

Procedure: (D=delay possible)

  1. Unbox and mark off received materials on the enclosed packing slips. Organize text materials by subject area. These materials are placed on the shelving labelled "Textbook Materials" in Tech Services. 

  2. Select a subject area to catalog and place on book truck.

  3. Search OCLC for the best record, preferably DLC & containing the greatest number of components comprising the text series (e.g., student text, teacher's edition, teacher's resource book, etc). Attach library holdings to OCLC using the update command (u f10). Those materials not found on OCLC are set aside or brief bibs are created.

  4. Download the record into Millennium.

  5. Create a local call number for each major item in the series (student text, teacher's edition, etc.). [Call number generation: Arabic numerals were arbitrarily assigned to each subject area, i.e. I =dictionaries, 2=foreign languages. Follow each Arabic numeral with a / then the letters that designate the subject sub-area i.e. 2/LA (Latin). The next line is the three-letter publisher designation, i.e. 2/LA HEA (Heath). The final line contains grade level designation, with an X indicating teacher's edition, i.e. 2/LA HEA 9-12, 2/LA HEA 9X.

  6. Edit each record, utilizing procedural notes and text materials at hand: change 090 field to 099 and add call number, check physical description (3xx), contents (5xx), subject headings (650), add grade level designation as supplied by the publisher or the State of VA, add [Textbook] designation to 049 tag and add cataloguer's initials to 910 tag.

  7. After editing and checking, print the call number on the verso of each item. Create Label files for Processing. (See CatME cataloging procedures.)

  8. Bar code all components (see #5).

  9. Add adoption year label.

  10. Create item screens for each record using Textbook template in Millennium.

  11. Materials are passed on to labeler in Processing.

  12. House completely processed text materials in the Textbook Depository area-2nd floor correctly on the shelves. Consult Education liaison for materials that should be housed in the Reserves area.

  13. Pull outdated text materials from the shelves.

  14. Mark for deletion discarded text materials in Millennium (bib records and item screens) and remove VLC from the OCLC MARC bib record (delh F10).

  15. Stamp discarded text materials, desensitize materials and box for delivery to Hull Building. Notify Physical Plant to pick up boxes.
