Space Allocation: Policies & Procedures

UNIVERSITY SPACE ALLOCATION REQUEST PROCEDURES
September 13, 2003

I. Purpose

This document provides the procedures for the request of space allocation and assignment in accordance with the Space Allocation and Assignment Policy 7210 as established by the University Space Planning and Management Committee (USPMC).

II. Procedures for Request of Space Allocation and Assignment:

  1. Requesting Department shall determine the need for additional space in order to fulfill the functions of the department.
  2. A Space Request Form (RPM-1) must be completed by the requesting Department Head and approved by the Vice President or President, whichever is applicable.
  3. The approved RPM-1 form is to be electronically submitted to the USPMC Staff Support personnel, realproperty@longwood.edu and any additional backup can be inter-campus mailed to Real Property Management Department, Coyner Building Room 202.
  4. The request is then submitted to the USPMC for final approval.
  5. Requestor will be notified in writing on the final decisions of the USPMC.

III. Requirements for Space Request

  1. All sections of the RPM-1 form must be completed.
  2. Section II, Reason for Space Request, describes the Department’s need for the additional space.
  3. Section III, Request Justification, must include the intended use of the space requested, number of occupants, and the general location desired.
  4. Section IV, Special Requirements will include any special requirements of the space such as lighting, electrical wiring, ADA compliance, etc. If the newly acquired space requires any space modifications, an RPM-2 Space Configuration Modification Request form, must also be completed.
  5. If off-campus or leased space is being requested, a justification for requiring that location and the cost must in included in Section V
