Policy 7205
MOVING SERVICES

I.    PURPOSE

The purpose of this policy is to set the guidelines and procedures for customer use of the moving services provided by the Facilities Management (FM) Department.

II.    POLICY

A. Moving Services: The FM Department employs a two-man crew for the provisions of moving services on Longwood's main campus and its adjacent property.  Their responsibilities include small day-to-day moves as well as functioning as part of the set-up team for campus-wide events.

B.  Limitations:

1.  FM Department movers do not handle new equipment, furnishings, and supplies being disbursed throughout campus nor surplus items being taken to storage. FM Department movers will, however, move surplus items being transferred interdepartmentally. Charges may apply for the use of moving services.

2.  FM Department moving services are not intended as a substitute for professional moving services. Our two-man crew is restricted by available manpower as well as specialized equipment needs. Special moving requests, large scale moves or moves involving delicate material should be directed to an outside vendor.

III.    PROCEDURE

Ordering and Prioritization of Services: Moving requests are placed with the FM Department Coordination Center and prioritized for the most part, as "first come, first served."  Normally, requests for services should be made at least one (1) week in advance. Small requests, may be made with a shorter lead-time, but will be responded to on an "as available basis."  It is, therefore, beneficial for all requests to be placed well in advance. Changes to original requests will also be subject to the availability of resources.  The work order line is 434.395.2304.

Revised and approved by the Board of Visitors, September 7, 2002.
